CRM (Customer Relationship Management)

October 24, 2026

CRM (customer relationship management) is how a business records every interaction with its customers and prospects, then uses that data to sell, serve and market to them. When people ask “what is CRM”, most of them mean CRM software: the place where customer contacts, purchase history, calls and support requests live.

What is CRM?

Microsoft separates two meanings. CRM is the strategy and set of processes for managing customer relationships. A CRM system is the software that puts that strategy into practice, with core features such as a central contact database, sales tracking, marketing, customer service and reporting (Microsoft Dynamics 365, What is CRM, accessed October 2026).

Microsoft also notes that CRM systems are commonly grouped into three types:

  • Operational CRM: day-to-day work such as entering leads, assigning them to sales reps and scheduling callbacks.
  • Analytical CRM: reading the data to see which customer groups buy again and which ones drift away.
  • Collaborative CRM: sharing customer information between marketing, sales and customer service.

For how to choose and roll out CRM software, see our guide to customer relationship management and CRM systems.

How marketers use CRM

Your CRM knows who actually became a customer. Ad platforms only know who clicked. That gap is why marketers connect the two:

  1. Send results back to ad platforms. With Google Ads enhanced conversions for leads, your website sends a hashed email address or phone number when someone fills in a form. When that lead becomes a customer in your CRM, you upload the same hashed data so Google can credit the right campaign (Google Ads Help, About enhanced conversions for leads, accessed October 2026). On Meta, the same job runs through the Conversions API.
  2. Build audiences. Customer Match lets you use your customer list to show ads on Search, YouTube, Gmail and Display. List memberships expire after 540 days, so the CRM needs to sync on a schedule (Google Ads Help, About Customer Match, accessed October 2026).
  3. Retain and resell. Filter customers by their last purchase date, then send an email or a Zalo message at the right moment. Sending automatically when a condition is met is the job of marketing automation.

Illustrative example (hypothetical)

A cosmetics store has 6,000 customers in its CRM. The marketing team pulls the 1,200 who last bought 60 to 90 days ago and sends them a repeat-purchase offer. 60 of them buy again at an average order of VND 400,000, which comes to 60 x 400,000 = VND 24 million in revenue.

If acquiring a new customer through ads costs VND 250,000, getting 60 new customers would cost VND 15 million. Without a CRM that records purchase dates, the store could not find those 1,200 people in the first place.

CRM vs CDP vs marketing automation

System What it does Main users
CRM Stores sales and service interactions for staff to work in every day Sales, customer service
CDP Pulls customer data from every system into unified profiles and shares them with other systems Marketing, data analysis
Marketing automation Runs email and message sequences based on preset conditions Marketing

The CDP Institute draws the line this way: a CRM mainly stores sales and service interactions, mostly from its own system, while a CDP takes in data from every source and keeps the full detail (CDP Institute, What is a CDP, accessed October 2026).

Frequently asked questions

What does CRM stand for?

CRM stands for customer relationship management. In Vietnamese it is usually called “quản trị quan hệ khách hàng” or “quản lý quan hệ khách hàng”.

Does a small business need CRM software?

Not always. With only a few customers, a spreadsheet with name, source, purchase date and status already works as a simple CRM. Software starts to pay off when several people handle the same customer, or when you need to send sales results back to Google and Meta.

What should you watch when storing customer data in a CRM?

Names, phone numbers and email addresses in a CRM are personal data. In Vietnam, collecting and using them for advertising has to follow the Personal Data Protection Law No. 91/2025/QH15. See our guide to Vietnam’s personal data protection law for marketers.

If you want to connect CRM data with your ads and measure leads all the way to closed customers, see Adtek’s Lead Generation page.
